I-9 Employment Verification

In-person Form I-9 completion for remote hires — Section 2 done correctly, anywhere in the region

Quick Answer

Every U.S. employer must complete Form I-9 for every new hire — and Section 2 requires an in-person examination of the employee's original identity and work-authorization documents. For a remote hire in the Washington region, that is a logistics problem. Ronit solves it as the employer's authorized representative: she meets your new hire locally, examines their original, unexpired documents from the Lists of Acceptable Documents, and completes Section 2 (and Supplement B for reverifications) accurately and on deadline.

One point employers and employees often get wrong: an I-9 is not notarized. The notary acts as the employer's authorized representative, not in her notary capacity — the form is never stamped with a notary seal. What you get instead is a careful, compliant in-person verification, with the completed form returned to the employer the same day.

Frequently Asked Questions

Is Form I-9 notarized?

No — and it should not be. For I-9 purposes the notary acts solely as the employer's authorized representative: examining documents and completing Section 2. A notary seal is never applied to an I-9, and we flag that clearly so HR files stay compliant.

What must the employee bring?

Original, unexpired documents: either one document from List A, or one each from List B and List C — photocopies cannot be accepted for the standard in-person process. The employee should also bring the employer's instructions and any company-specific pages.

How does an employer arrange an appointment?

Call (202) 875-6829 or send the form with the hire's city and start date. We schedule the meeting with the employee, complete Section 2 within the required window (no later than the third business day of employment for Section 2), and return the signed form the same day.
